The Pharmacy Audit tool receives and displays data from your medication wholesaler and files from your narcotics vault and compares them to find discrepancies between what is invoiced from wholesalers and what is loaded into the narcotics vault.
Dashboard Layout
The dashboard is mainly comprised of filters and pertinent event summary cards that allow you to quickly audit and edit transactions at your facility.
Similar to the Patient Care Audit Dashboard (i.g., Review Audit), this data includes combinations of invoices and medication loads to ensure all medications are accounted for.
For example, if 100 tablets of oxycodone were invoiced and 100 tablets were loaded into the narcotics vault, the event would be automatically closed by ControlCheck. However, if 100 tablets are invoiced but only 50 tablets are loaded into the narcotics vault, this creates an open variance and displays on the Open tab of the Pharmacy Audit page.
Filters
You can filter your view utilizing a variety of filters at the top of the dashboard. The main filter menu in the top right corner allows you to filter by a specific timeframe, department(s), user(s), drug(s), or event summary ID (ES ID). To reset your filter menu, select the CLEAR ALL link to the left of the menu.
Select the Print icon to the right of the filters to download either a summary or detailed transaction report of the data into a CSV file.
It is important to note that the option to download your data only applies to the status tab that is currently selected. For example, if you choose to download data from the Open tab, only the events listed under that status will be downloaded.
The Sort By filter is a secondary filter option that filters the list of event summaries based on the following factors:
- Date: Newest to Oldest/Oldest to Newest
- Drug: A-Z/Z-A
- Department:: A-Z/Z-A
- Missing: Most to Least/Least to Most
Pharmacy Audit Tabs
The most prominent filters on the Pharmacy Audit page are the three status tabs: open, closed-staff, and closed-bluesight.
Each tab automatically divides the event summary cards based on their current assigned status and displays the number of events included under said status.
Open Tab
This tab includes events for drugs that have not been resolved automatically by ControlCheck or manually by a staff member.
Closed - Staff Tab
This tab includes events for drugs that have been resolved manually by a staff member.
Closed - Bluesight Tab
This tab includes events for drugs that have been resolved automatically by ControlCheck.
Event Summary Cards
The event summary cards included in the Pharmacy Audit Dashboard can be viewed in a collapsed or expanded form.
Collapsed Cards
A collapsed card can still provide a plethora of information about a specific event. At first glance, you can easily read the name of the drug involved, the date of the transaction, the ES ID, the pharmacy location, the type of transaction, and much more...
For example, a white Notes icon indicates that there are no notes attached to an event, whereas a blue icon indicates the opposite.
If there were no status tabs to sort events you would still be able to review an event and surmise its status. For instance, in the screenshot above there is a blue tag that indicates the event involving 2 mg of Methadone is currently in the "Closed - Staff" status.
You can utilize the Actions button to update an event's status or add notes.
Missing Column Values
If a drug has been invoiced but not loaded, the value in the Missing column is positive. If a drug has been loaded but not invoiced, the value in the Missing column is negative.
Expanded Cards
To switch to an expanded view, select the gray carrot icon next to the transaction date or anywhere else on the card.
An expanded event summary card will include an Events and Notes tab. Referencing the screenshot above, you can see that while there are no invoice events associated with the transaction you can still review the date and location that the drug was loaded by the pharmacist.
Without selecting the Notes tab I can infer that there are already notes attached to this event by glancing at the blue Notes icon in the top right corner.
Here's a list of additional details you can review within an expanded card.
- Date Invoiced - The date an invoice was created.
- Account Name - The account names used to order drugs from the wholesaler.
- Account Number - The account number used to order drugs from the wholesaler.
- Date Loaded - When the medication was loaded.
- Location - Location of the narcotics safe where the item was loaded.
- Loaded By - The name of the provider who loaded the medication.
- Event - The type of transaction that occurred.
- Amount - The amount of the drug involved
Should you see the Account Name and Number know that both are received through your adapter from the wholesaler data. If your adapter is not set up to parse this data, these fields will be blank.
