Assignment Workflow: Assign an Event Summary to a ControlCheck User

This release features a new workflow option on the audit table review modal screen to Assign an Event Summary to another ControlCheck user. Once assigned, the assignee will receive an email notification alerting them of the assignment and calling them into action into ControlCheck. Once on the audit table, the assignee can filter down by events assigned to them to focus their workflow. Users will see an orange pill with the assignee’s name on the event summary to indicate that it is assigned, like the one below.

There are a couple of different scenarios and workflows this feature can support: 

  1. A hospital has nurse managers that have access to ControlCheck but frequently need to be poked by upper management and pharmacy staff to log into ControlCheck and address their department’s variances. This feature allows pharmacy users or manager users to assign the event summary to the nurse manager, which will trigger an email notification to the nurse manager, letting them know they have open variances to address that have specifically been assigned to them.
  2. A hospital has a diversion committee or team of auditors that work in ControlCheck simultaneously and frequently overlap work among auditors by mistake. This feature could support this use case by allowing the auditor to assign the summary to themselves to take ownership of the variance. This allows other auditors to ensure they are not picking up variances with someone already assigned to them and working on them.
  3. A hospital has a workflow where they require nurse managers to leave a comment on an open event summary, but the nurse manager cannot close the event summary. Once the nurse manager has left a comment on the event summary, the auditor has no visual indication that the comment by the nurse manager has happened because the notepad on the audit table turns blue once any comment is made. A customer has asked that we color change the notepad to indicate a comment has been added to the event summary by the nurse manager but this feature will address the main concern: knowing that the event summary is ready for “you” the user. The auditor can assign the event summary to the nurse manager, then the nurse manager can leave their comment, and assign the event summary back to the auditor. Both users are notified of their assignments and called to action into ControlCheck.  

To assign an event summary, click the notepad icon on the event summary from the Review Audit page. 

Once the modal review screen has opened, click the Assign Event Summary to: drop-down to select the assignee’s name. The name can be searched from the search bar in the drop-down.

Select the assignee’s name from the list. Make any desired edits to the comment and click Assign and Comment. Review the information one last time, and then click Save to apply the changes.

To remove an assignee from an event summary, click into the dropdown and click Remove Assignee

Then click Remove and Comment, and finally Save.

There will be some changes to the Review Audit page to note. There will be a total count of all assigned events at the top of the table in orange text. This count will display how many event summaries on the table are assigned to any user; not necessarily how many are assigned to you. 

There is a new filter at the top of the audit table that allows users to filter the audit table by one of three options: View all event summaries (assigned and unassigned); View event summaries that are assigned to someone; and View event summaries that are assigned to me.

To unsubscribe from email alerts about new assignments, click on the user menu at the top right and select Notifications.

From the Notifications page, click the toggle so that it turns gray, or off.

An email notification will come from ControlCheck-notifications@kitcheck.com and will look like the sample email below.

To best support use this feature, please remember the following: 

  •  A user’s name will only be listed in the assignment drop-down if they have access to that event summary via their security role permissions.
  •  This feature is not required to be turned on for any users or hospitals; it is available to all ControlCheck users, given that they have access to the event summary. 
  •  The notification email that alerts users of their latest assignments will be turned on by default for all users. Users can disable this email alert from the Notifications page. If a user is never assigned an event summary, they will never be emailed. 
  •  An event summary can only have a single assignee at a time. Users can be removed and new assignees can be added; a user can even assign themselves to an event summary. 
  •  Once the user selects an assignee from the list, a comment will auto populate in the comment log on the modal screen that reads “Assigner assigned event summary to Assignee.” The user must click Assign and Comment and Save for the assignment and comment to be saved. The comment can be edited or deleted before assigning and saving.
  •  An event summary can only be assigned when in “Open” state. An event summary that has been re-opened from a closed state can be assigned, but any event summaries in Closed-Staff or Closed-ControlCheck cannot be assigned.  

Open Variances Email for Pharmacy Users

The ControlCheck team is excited to release the Pharmacy version of the Open Variances E-mail Notification. This email notification is very similar to the existing one for Patient Care, but has a special section for Pharmacy data and is available to customers who have access to the ControlCheck Pharmacy module. Reach out to your Solutions Consultant for more information on the Pharmacy module. Just like the Patient Care Open Variances E-mail Notification, users can unsubscribe from this alert from their Notifications page. Below is a sample Pharmacy Variances email.

Upgrades & Fixes

  • Updated the Open Variances email to only contain departments in the Department Breakdown that the user has access to.
  • Fixed an issue that will hopefully improve the load time of the Time to Admin and Waste System Benchmarks report.
