Variance Categories GA Release

Variance Categories is officially Generally Available! With this release, all hospitals will have the ability to publish their own reasons or categories to their individual hospital or their system.

This will change your ControlCheck auditing workflow from transitioning event summaries to ‘Closed-Reconciled or Unable to Reconcile’ to a Category of your choosing. Those categories are set up and mapped to the status’ of Reconciled or Unable to Reconcile under the Manage tab.

If you haven’t read previous release notes, here is a recap: Variance Categories allow hospitals to set up custom categories that would be applied to variances upon review. These categories can help solve the problem or lack of insights and identify reasons behind what caused variances. Hospitals map their custom categories to ControlCheck parent categories and a Closed state. The custom category can be set to be included or excluded from the Variance Trends score. Features included:

  • Manage tab functionality to set up Custom Categories with a description. Managers can edit or delete categories prior to it being published. Once published you can only edit the category. If you need to delete a published category, please contact our Support team.
  • Variance Categorization setup can only be done at the Hospital or System (hospital group) level. Managers can edit the categories and once ready (users trained, documentation updated, etc.) can publish the categories to be selectable in the Variance Categories dropdown on the audit table.
  • Custom Categories are mapped into Parent Categories. There are 4 Parent Categories (non-customizable and setup at the ControlCheck level for all customers). The purpose of the Parent Categories are to help the ControlCheck team identify trends across our customers so we can improve the algorithms to auto-close summaries in the future.
    • Documentation Timing Issue - means things like late documentation, back charting, delays in waste
    • Incorrect Documentation - means things like wrong patient, mischarted, wrong drug, incorrect amounts
    • Missing Documentation - means things like undocumented waste, no admin, missing return
    • System Limitation - means things like ADC/EMR down, file issues. By default, categories created under system limitation will be excluded from Variance Trends but user can override the default.
  • Custom Categories  have a Variance Trends setting (included/excluded)
  • Filter on the Audit table and Run Report.
  • New column in Run Report exports with the Variance Category.
  • Specific functionality for Patient Care summaries only. Description will display within the Edit panel once a category has been selected in the dropdown.
  • Ability to re-open Closed Bluesight summaries.
  • Algorithm and Detailed Risk Sub-Bullet changes to Variance Trends & IRIS to accommodate categories.

IRIS 2.0 Beta

Beta customers will be testing and providing feedback via IRIS 2.0 Beta Community Group for the following new features:

  • Side Panel Navigation
    • Simplify IRIS navigation and free up screen real estate for future feature development with a new left side panel navigation.  This will replace the existing horizontal metric navigation.
  • Global “Sticky” Filters
    • Save time with IRIS navigation by persisting global filter selections across IRIS Dashboard and other metric pages within a specific Care Area. Specifically, these “sticky” filters include Date Range, Department, User, and Role**.**
    • Please note that metric pages will now support the following additional global filters: 
  • Secondary Filters
    • These filters are specific to each metric page and have been updated to the same UI filter component as the Global Filters. 
  • 6 Month Longitudinal IRIS & Activity History
    • Display the last 6 months of a user’s IRIS bar chart and Average CS Dispenses/ Shift table, with each month representing activity & data from the first through the last day of the month. Users will be able to quickly visualize IRIS score and activity trends to guide an IRIS review.
    • This is to ensure files have been processed and IRIS reviewers have accurate data, each month’s IRIS score will be calculated on the 5th day of the following month. Ex) We will calculate November scores on December 5th.

Updates & Fixes 

  • Limit ‘User Edited’ filter on Run Report to only users that have the functionality.
  • We made the following changes to the “Download Formulary” options:
    • Mapped Medication --> “Audited + Unaudited Medications"
    • The Audited Medications option has been removed.
    • Unaudited Medications --> "All Medications"
  • We updated the Potentially Controlled List to exclude medications that should be in the “Unmapped: Other” queue.
  • We improved the Help Menu options in the application by making the following changes:
  • Multiple application performance improvements, which we will benchmark after the release.

Upcoming Features & Bug Fixes (next release) 

Release (R159) - Week of 11-20-23

  • Manager users! We are adding the ability to download Mapped Users to a CSV. This can help ensure you have the right roles setup for users within ControlCheck, or to identify any users that should be merged together.
  • (Beta) Add Department Average calculations for 6-Month Longitudinal IRIS Score & Activity Level. This will only be available to IRIS 2.0 beta customers.
  • (Beta) New Canceled Transactions IRIS metric & Investigate data page. This will only be available to Omnicell & Pyxis beta customers.
  • New hospital setting for defaulting the IRIS date range. By default, this will continue to be set for 30 days.

  • Users will now be able to add comments on closed Investigations.
  • We’ve moved the Investigation Collaborator button to be on the left-hand side within the Investigation. Users will now see a list of Users with the Admin or Viewer Investigation Permission from the Investigation Detail Panel, providing information that those Users can see/interact with the Investigation but can’t be assigned to the Investigation.
