Manage Retail Pharmacy Workflows Through Reviews
We’ve expanded the retail pharmacy module to event reviews, introducing the ability to document notes on individual events and compile a historical list of historical reviews. Our goal is to help retail pharmacy teams improve clarity, ownership and workflow efficiency.
Open a Review
When reviewing the count correction heatmap, click into a heatmap tile to open a detail panel for the drug and location selected. From here, a review on count correction events may be opened. The date range for the review will be passed from the heatmap view to the detail pane and be captured as part of the Events Date Range.
Editing Reviews
Opening a review gives users control over sizing the date scope of the review, add notes and documentation to the review in accordance with their workflow, and set the review status as an indicator of where work is in their process.
Here’s an example of a brand new review:

Managing Review Status & History
As reviews accumulate over time, teams can review a worklist of reviews that have been opened in their retail system. This table can be filtered by a number of parameters and can be accessed from the “Analyze” tab at the navigation bar at the top of your screen.
Clicking on the row of a review in the worklist will navigate user to the review detail screen, giving them access to edit the date range scope, review status, or add documentation.
Statuses
There are 4 statuses available for a review
- Needs Review: This is the default status of a brand new review. Reviews begin in a ‘null’ or unreviewed state. When a user initiates ‘Open Review’, the review will move to the Needs Review status.
- In Review: This should be used as teams are underway with a review investigation
- Reviewed: When a review is complete, use this status. Moving a review to this state is only available for users with the proper security role (similar for IRIS).
- Archived: Use this status on unnecessary, duplicative, or irrelevant reviews. Like the “Reviewed” status, only users with proper security roles can assign this status. Reviews in this state are both locked from further editing and filtered out of view from the review worklist by default. Additionally, reviews in this state do not count towards dashboard metrics or heatmap review icons (see more below).
Review Workflow Support Through Count Corrections Heatmap
As reviews accumulate, we’ve added indicators within the heatmap to signal what drugs and locations have reviews applied against them. These symbols come in the form of blue and grey dots overlaid on the cells of a heatmap.
- Blue dots indicate that reviews exist for the combination of drug and retail location and at least one of those reviews is not completed.
- Reviews can be created on overlapping date ranges, but the indicators here as well as the Reviews tab in the Detail Panel, are to help drive visibility of any active or not completed reviews for the given date range.
- Grey dots indicate that reviews exist for the combination of drug and retail location and all reviews meeting the criteria have been completed.
- Dot review indicators are dynamic to the date filters applied to the heatmap. For example, when users select a recent date range, say the past 14 days, they are likely to see more blue dots as reviews are likely to still be in process. Should users select an older date range, say a 10 day period 9 months ago, reviews are more likely to be completed or archived, therefore you might expect a higher proportion of grey dots.
- These heatmap changes are designed to be a quick peak into where review workflows are taking place (or not taking place). To review specific detail on reviews, we recommend utilizing the review worklist.
File Quality Visibility Updates
Our team has been looking into ways to help Control Check managers get a better sense of the completeness of files sent to the product. To meet this end, we’ve updated the File Uploads table in the Manage tab. Key features include:
- Ability to download the source files for easy access to inspect
- Ability to compare completeness of files by comparing the file size, quantity of events, and the event dates in scope within files
Transactional Summary Report
Recently, we’ve added the ability to add file attachments to an event summary. In this release, we’re adding detail on the attachment when exporting Summary Report.
- This adds a new column called “Attachments” that directly after the “Notes” column.
- When multiple files are added to an event summary, each file name is separated by a semi-colon within the column.
Bug Fixes
- We’ve addressed an issue where IRIS reviews created prior to a change in the provider’s care area could not be closed.
- Recently, we’ve seen issues reported on delayed upload complete statuses for files. We found a root cause of duplicate patient merges tripping up the system and put corrections in place to reduce the frequency of this issue.
